A weak spot in my personal finances

October 11th, 2013 at 07:54 pm

I have a weak spot in my personal finances - I have more than one weak spot to be sure, but I'll speak of only this one for now.

That is, getting reimbursed for expenses at work.

I just submitted a reimbursement form that stretches back all the way to the middle of July, and the total for the reimbursement is $827.80.

When we were butt-broke, I had incentive up the wazoo to submit expenses. And, when I make a major purchase, I get it submitted right away. But, we're not butt-broke right now, and none of these expenses were major - they were small to medium sized.

I know I need to get on a schedule where I submit expenses at the end of each month, no matter what. I know that in theory. Putting it into practice is an entirely different matter.

Hire one of your kids to get them organized and tape them on paper or do an excel spreadsheet and give them a fee for doing them. They'll bother you enough that you'll have to do them.

I'd earmark the reimbursement money for something you really are motivated to fund. Vacation? New car? New tool/hobby purchase? Weekend away or fancy dinner with DW?

Not sure if this is true for you, but if we turn in mileage to be reimbursed, if we do it after 60 days, we get taxed on it. I don't usually have a bunch of mileage and used to save it up for 3-4 months to get about $20, but after hearing I could get taxed on it, I get it in on time or forgo being remibursed.

$800 in 4 months is quite a chunk of change, butt-broke or not! That alone would be motivation enough for me. I don't know how long it took you to fill out the reimbursement form, but I'll bet the dollars/hr is pretty good, even if the work is tedious.

I'd concentrate chipping at where the hitch is, and try to make your whole process automatic. If its collecting receipts/backups in one place, I'd figure out an envelope type system to put in your car glovebox or even a space in your wallet if its big enough. Then I'd put the form (image of the form if its still all paper) on your desktop, possibly re-labeling it something that will encourage you to click on it by the due date (fun? amusing? goal?). Then I'd put filling it out as an appointment on your calendar.
